The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, your name, email address, phone number, and the charity you work / volunteer for)
- Key information about your charity or the applicant relevant to a funding application, such as charity accounts and basic employee data, or the date of birth, home address or ethnicity of the applicant.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To develop a funding application to a funding body.
- To write up a report, as commissioned by you, for an external agency.
We also receive personal information indirectly, from the following sources in the following scenarios:
- Financial and trustee information may be gained from the Charity Commission website to support a strategic plan or funding application.
We use the information that you have given us in order to fulfil the agreed services, such as developing a grant application, report, evaluation, or planning document.
We may share this information with external agencies such as grant funders, only as directed by you as part of our contract.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information
Your information is securely stored on an electronic device which is password protected.
We keep personal information relevant to a funding application, such as dates of birth and staffing information, until the end of the stated contract. We will then dispose your information by removing it from electronic devices and email attachments.
We keep names and email addresses for future marketing purposes unless you contact us at info@effectivethirdsector.com to request that we do not contact you.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
